Organisational Hierarchy and Club Structure
The Scarboro Surf Life Saving Club has a well-defined organisational hierarchy that ensures effective management and operation of the club. Each tier in the structure plays a significant role in supporting our mission of promoting surf safety and community engagement.
Club Officers
These Job Descriptions outline the role of each of the elected and appointed positions in the Club.
Club Administration
The President is the official head of the Club and presides at all General and Board of Directors meetings. Represents the Club in the external environment by promoting and enhancing positive and productive relationships with SLSA, SLSWA, other Clubs, the City of Stirling, Club sponsors and key stakeholders.
The Director, Administration is responsible for the day to day administration of the Club, ensuring compliance with all statutory requirements, the Club’s constitution, policies and procedures.
Responsible to the Director Administration for the proper recording, storage and display of all historic Club and membership information.
Responsible to the Director Administration for the coordination of safety and health matters for members and visitors within the Club.
Responsible to the Director Administration for management of the Club website, TeamApp and Social Media.
Responsible to the Director Administration for the security, maintenance, repairs and general condition of the Club's premises.
Responsible to the Director Administration for the management of the Club's social media platforms.
Finance
The Director Finance ensures the Club meets the strict financial records, reporting and accountability requirements set out in Part 5 of the Associations Incorporation Act 2015. They manage the Club’s finances in accordance with accepted accounting principles and practices, ensuring a healthy surplus at the end of the financial year and an unqualified audit.
Responsible to the Director Finance for the management of the Club bar.
Responsible to the Director Finance for the management of the Club canteen.
Responsible to the Director Finance for the management of the Club shop and merchandise generally.
Business Development
The Director Business Development ensures the business activities of the Club, as identified by the Board, are well managed, profitable and present the Club as a responsible business entity to its stakeholders.
Responsible to the Director of Business Development to support the delivery of sponsorship and business activities of the Club, including development of a sponsorship strategy, identification and engagement of new supporters and sponsors, and management of existing supporters and sponsors.
Responsible to the Director of Business Development to support the identification and application for Grants on behalf of the Club.
Member Services
The Director Member Services ensures the Club services for members, as identified by the Board, are well managed and presented as available to all Members relevant to their membership category.
Responsible to the Director Beach Operations for the induction of all new Club Members to ensure they are introduced to the relevant activities of the Club and placed in appropriate training squads.
Responsible to the Director Member Services for the planning and conduct of a Club social calendar that incorporates the needs of all Club Members.
The Member Protection Information Officer (MPIO) is responsible for: 1. carrying out member protection and member screening duties; and 2. providing members with information in relation to concerns or complaints.
Responsible to the Director Member Services for providing emotional and empathetic support to members who may have been involved in any traumatic incident or experience, whether directly or vicariously, and to support and guide members to help them manage their issues, options and goals.
Responsible to the Director Member Services for managing the process of dealing with complaints from Members under SLSA Policy 6.06 Complaints Resolution Policy.
Member Development
The Director Member Development is responsible for the delivery of the delivery of programs and development of Nipper and Youth members.
Responsible to the Director Member Development for the management and conduct of all Nipper activities in the Club.
Responsible for the development and progression from Junior to Senior membership in the Club through planned pathways, which provide for the development of critical surf related skills and encourage participation in intra and interclub activities as members progress through the age groups.
Responsible for promoting, encouraging and supporting the participation of Youth Members (ages 13 to under 17 years as at 30th September) in the SLSWA Youth Pathways and Leaders Programs.
Responsible to the Director Member Development for the management and conduct of all activities related to the Club’s Starfish Nipper Program. (the Program)
Responsible to the Director Member Development for encouraging the development of critical surf sports skills of Junior Activity Members through the age groups; and, managing their entry and participation in related intra and inter club surf sports activities and events.
Responsible to the Director Member Development for production, management and delivery of relevant intraclub communications to Junior Activity Members (Nippers) and families.
Responsible to the Director Member Development for ensuring appropriate storage, maintenance, ready availability for use and replacement of all Club gear and equipment required for use by Junior Activity members, other than that being the specific responsibility of other Officers and Coordinators.
Responsible to the Director Member Development for production, management and delivery of relevant intraclub communications to Youth Development members and families.
Beach Operations
The Director Beach Operations ensures that the Club meets its lifesaving services agreement with the City of Stirling and SLSWA. They ensure that new members are appropriately inducted and that all members are qualified in accordance with the requirements of their relevant membership category.
Responsible for coordinating the Club’s lifesaving patrol activities in conjunction with the Club’s lifesaving service agreement.
Responsible for assisting the Lifesaving Patrol Officer in coordinating the Club’s lifesaving patrol activities in conjunction with the Club’s lifesaving service agreement.
Responsible for coordinating the training and assessment of Surf Life Saving Awards for Club Members.
Responsible for assisting the Education Officer in coordinating the training and assessment of Surf Life Saving Awards for Club Members.
Responsible for the care and maintenance and equipment and operation of drone surveillance during patrol hours.
Responsible for care and maintenance of IRB equipment and coordination of gear required for patrol or water safety.
Responsible for the coordination of Club First Aid services and care and maintenance of equipment.
Responsible for care and maintenance of Jetski equipment and coordination of gear required for patrol and water safety.
Responsible to the Director Beach Operations for ensuring appropriate storage, maintenance, ready availability for use and replacement of all Club gear and equipment required for use by Beach Operations, other than that being the specific responsibility of other Officers and Coordinators.
Responsible for the coordination of Club Digital Radio services and care and maintenance of radio equipment.
Surf Sports
The Director Surf Sports ensures that the Club is well represented in SLSA and SLSWA inter-club surf sports competitions. They ensure that the Club provides a range of intra-club surf sports competitions and activities relevant to members of appropriate membership categories and that members are encouraged to participate accordingly.
Responsible for coaching members in surf sports disciplines, activities and events.
Responsible for management and training of the Club’s beach competitors and equipment.
Responsible for management and training of the Club’s board competitors and equipment.
Responsible for management and training of the Club’s surf boat competitors and equipment.
Responsible for the organisation of members participation and entry in all intra and interclub surf sports competitions and attendance at interclub surf sports events.
Responsible for the use of the Club gym by members and care and maintenance of the gym and equipment.
Responsible for management and training of the Club’s IRB competitors and management of IRB competition equipment.
Responsible for management of the Club’s Lifesaving competitors and equipment. Includes Champion Lifesaver, Champion Patrol and Champion First Aid Team.
Responsible for management of the Club’s March Past competitors and equipment.
Responsible for management of the Club’s swim pool competitors and equipment.
Responsible for management of the Club’s R & R competitors and equipment.
Responsible for the coordination of Intra Club Competition Events, including the setting of handicaps where relevant to each event.
Responsible for management and training of the Club’s ski competitors and equipment.
Responsible for management of the Club’s water competitors and equipment.
Responsible for co-ordinating and encouraging officials for Club, State and National Surf Sports events.
